Office Manager (Temporary Maternity Cover)

Our client is looking for an Office Manager from February to September 2017.

This role is specifically focused on the administrational processes around the office, from handling the day to day management to overseeing bigger projects related to the premises. The daily tasks will also include supporting the Head of HR and managers in other employee and office related areas, such as enhancing staff satisfaction and company culture, including the practical work around it.

Role and Responsibilities:

Manage, upkeep and improve both the daily office management as well as handling larger projects around the work and leisure area.

Working hours: 9:00-18:00

First point of contact upon entering the office

– Upkeep of the Office, ensuring a smooth working environment
– Cleaning management
– Massage therapist management
– Weekly breakfasts/Friday entertainment/high level meetings (ordering food/drinks and planning)
– Company events
– Plaza management, complaints files and reporting
– Third party management of current service providers
– Introduction and evaluation of new service providers and suppliers
– Liaise with authorities and councils, ei upon reconstructions
– Health and Safety Management for premises and employees (first aid, firefighting, electricals etc.) as required by law (keep updated with law requirements)
– Insurances for premises and employees
– Ordering of (branded) office materiel (pens/envelopes etc.) – liaising with Design
– Hotel, taxi and Conference booking
– Be a support function when needed for HR
– Scanning, filing and keep HR and Admin related files updated.

Formal Role Requirements

– Pleasant and a conversant meet and greeter
– Proficiency in English, having lived in Malta for more than 3 years is meritorious
– Working knowledge of email, scheduling, spreadsheets and “presentation software”
– Independent, self-directed and able to work under limited supervision
– Ability to multitask and meet changes
– Detail orientated and works with a high degree of accuracy
– Proactive thinking and taking satisfaction in having projects finalized with good results
– Innovative and organized and flexible
– Experience within the iGaming industry is meritorious
